What you can do

01 Room blocks Hold units by date for the group and release them when no longer needed.
02 Rooming list Assign guests to each room as the organizer confirms names.
03 Payments and balances Record deposits and balances with the same reconciliation as any booking.
04 One contact The group organizer has a clear record of what is booked and pending.
05 Quote by room type Each line compares the group rate with the public rate and real availability. Taxes and total are calculated by the server; a rate far below the public one requires Revenue approval.
06 Validated rooming list Enter it online or import a CSV of up to 500 rows, with a second occupant. Each row flags duplicates, empty rows or excess over the block before you confirm.
07 Deposit schedule Deposit milestones by percentage or amount with their due date, and real payments: promised, received and reconciled. Nothing is marked paid without money.
08 Automatic cut-off date At cut-off, rooms without a booking return to inventory on their own and the deposit is distributed across the folios of the bookings created.
09 Group dossier Contract, versioned PDF quote, rooming CSV and notes, with their history. Documents are never edited or deleted: a new version is another file.
10 Settlement with no loose ends Per folio you see charges, applied deposit, direct payments and balance. The group closes with a balance of exactly zero, and any credit is refunded to the organizer.

How it works

01 Quote Set dates, room types, occupancy, group rate, cut-off date, cancellation policy and deposit schedule.
02 Hold On confirmation, the block deducts availability by type and night so channels and direct sales can’t overbook it. You can release unclaimed rooms before cut-off, with a reason.
03 Name Load the rooming list and confirm the valid rows: each becomes an individual booking with its own folio and the group rate.
04 Operate and settle Record deposits, track pickup, charge guests what is theirs and close the group once everything is reconciled.

FAQ
Do I need Team for groups?

Yes. Groups need a front desk with simultaneous bookings, which is part of Team and Manager.

Does a block affect what is sold on OTAs?

The block draws from the same inventory GestaProp syncs, so the same room isn’t sold twice.

Is there a single account for the whole group?

Each booking has its own folio. If the group pays for lodging, its deposits form an organizer account applied to the folios; extras stay with each guest.

Can the organizer update the guest list?

Yes. From their portal they edit the rooming list until the cut-off date and pay deposit milestones online.

What if the price changes between quote and confirmation?

On confirmation, GestaProp requotes every line. If the total changed, it won’t confirm until you accept the new total.
